OTC Announces OkTAP Account Updates

The Oklahoma Tax Commission (OTC) recently announced several enhancements to the Oklahoma Taxpayer Access Point (OkTAP) system, which will affect access requests to client accounts and impact management of client tax matters. 

According to the OTC, the updates are designed to strengthen data security while maintaining a user-friendly experience for taxpayers and tax preparers. 

Key OkTAP Enhancements

1. Accessing Taxpayer Information
OkTAP users will no longer be able to view or download previously uploaded W-2 and 1099 files through the system. This change was implemented to reduce potential exposure of sensitive taxpayer data.

2. Notifications When Third Parties Gain Access
When a third party—such as a CPA firm or account manager—obtains access to a taxpayer’s account, the account owner will now receive an email notification. The notification will include relevant information about the third party.

3. Letter ID Required for Third Party or Account Manager Account Access Requests 
To obtain access to an existing OkTAP account, third parties must now provide a Letter ID associated with the taxpayer’s account.

  • The Letter ID appears in the top right corner of correspondence sent by the OTC.
  • The Letter ID must be dated within the previous six months for access to be granted.
  • If the requester does not have a Letter ID, they may request one to be mailed to the address on file for the account.

Ongoing Focus on Data Security

The OTC noted that these updates are part of a broader effort to keep the system aligned with current data security best practices. Additional updates may occur periodically as security standards evolve.

The OTC also reminded taxpayers and practitioners that account owners already have tools within OkTAP to manage and monitor account access. These features allow users to:

  • Review who currently has access to their accounts
  • Control permissions for account managers or third parties
  • Regularly audit account access as part of their data security process

What This Means for CPA Firms

CPA firms requesting client access through OkTAP may notice the new Letter ID requirement and updated notification process. Firms may wish to coordinate with clients ahead of time to ensure they have the necessary correspondence available when requesting access.
